Invoicing Templates

  • You can complete your invoice and print it by opening this excel file.  Don't forget to update the invoice to reflect the proper accounting period, substitute your personal information, and remove the sample data lines before you complete the invoice.  Once you have completed your invoice, print it, and then e-mail the invoice to Accounting@CAIRS.net

  • You can download the excel spreadsheet file by right clicking here and saving the file to your computer for future use.

  • Once you've downloaded the invoice template to your computer, don't forget to update the invoice to reflect the proper accounting period, substitute your personal information, and remove the sample data lines before saving to your computer.  You will then have the invoice available to you for the creation of all future CAIRS invoices. Don't forget to mail your invoice to Accounting@CAIRS.net so you get paid.

  • Once you've completed an invoice, you can save archive copy of that invoice by using the FILE, SAVE AS function in Excel and naming completed invoice files with the appropriate names.

Invoice Payment Schedule

    SPECIAL NOTICE:  NEVER INCLUDE YOUR SOCIAL SECURITY NUMBER IN ANY E-MAIL CORRESPONDENCE, OR ON ANY INVOICE!  If we do not have your Social Security number in our accounting system, we will contact you and ask for it.
  • Invoice Due Dates:  All Interpreter Invoices are due in the CAIRS accounting office no later than seven [7] days after the end of the period for which the invoice will be submitted.
  • Accounting Periods:  Invoice accounting periods run semi-monthly.
  • How Long After the End of the Accounting Period Do I Have to Submit My Invoice?

    • Invoices for the period from the 1st to the 15th of the month must be submitted to Accounting@CAIRS.net no later than the 22nd of that month.

    • Invoices for the period from the 16th to the end of the month must be submitted to Accounting@CAIRS.net no later than the 7th of the following month.

  • Do We Get Special Holiday Pay?  Interpreters will be paid at the rate of time-and-a-half for the following Holidays: New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and Christmas Day
  • Is Time and a Half Paid for Any Other Work?  Time and a half is paid only if authorized for a job or under certain circumstances where more than one interpreter is supposed to be on the job and one of the scheduled interpreters fails to show up. Check with the scheduler who assigned the job regarding overtime for the specific job.

  • Emergency Fees and Travel Time:  Emergency/Short Notice assignments are defined as any request received by CAIRS with less than two full business days notice prior to the job.  Your scheduler will tell you if an emergency fee and/or travel time has been authorized for a job
